EXECUTIVE AssistanT

Key Responsibilities:

  • Assist executive with general administrative duties such as project creation, calendar and travel management, and event planning
  • High-level written and verbal communication skills with the ability to articulate both broad concepts and detailed information clearly and concisely in a variety of settings, adjusting the message to match the audience profile and size.
  • Communicate, create, and manage all follow up into the primary database.
  • CRM database management and miscellaneous administrative duties.
  • Prepare, open, close, and host listings for showings, open house, special events, etc.
  • Effective communicator and comfortable working directly with clientele on all levels.

Requirements

  • Proven experience as an administrative assistant, executive assistant, or in a similar role
  • Excellent communication and interpersonal skills
  • Strong organizational and leadership abilities
  • Tech-savvy with proficiency in Microsoft Office 365 Suite and Apple Products, etc. required
  • Knowledge of MLS systems 
  • General knowledge of the real estate industry

real estate paralegal

Seeking a poised, dependable professional with initiative and confidence to support principal in a dynamic real estate sales office.  We are seeking a full-time, real estate paralegal/closing agent to join our transaction team in our Naples office If you are a proactive, organized individual who can manage their own department but also thrives in a team environment, we encourage you to apply.   This position will focus on assisting the agent through negotiations, contracts, and the closing process. 

Prefer an experienced Paralegal with a real estate/title background 

Essential Duties and Responsibilities: 

  • Serve as liaison between agent, attorneys, inspectors, buyers/sellers, etc. 
  • Focus on negotiations, contracts, time sensitivity, closing process 
  • Coordinate and review contract files (including maintaining files and key dates) 
  • Work with agent, brokers, banks, attorneys, and others to resolve any problems with contracts and upcoming closings 
  • Prepare contracts as instructed by associate 
  • Must be flexible and able to adjust to immediate requests 

Qualifications 

  • Ability to communicate effectively, professionally, and persuasively, both verbally and in writing 
  • Ability to work within a fast-paced work environment and multi-task 
  • Proactive work ethic demonstrating initiative 
  • Ability to organize, coordinate, manage self and time effectively, prioritize projects, and meet  
  • Strong proficiency with Microsoft Office, particularly Excel and Word 
  • Familiar with MAC computers a plus

LISTING
MANAGER

Naples, FL / Full-Tme

This non-traditional listing marketing role involves acting as a key liaison between clients and the office. As Listing Manager, you will manage the marketing of real estate listings from start to finish. The ideal candidate will handle administrative tasks like maintaining the marketing budget, managing vendor relationships, negotiating advertising contracts, and meeting deadlines. You will also provide regular updates to high-net-worth clients on their properties and communicate market conditions. Strong communication, organizational, and strategic skills are essential for ensuring smooth coordination within the team and elevating our creative marketing efforts. 

Marketing Responsibilities: 

  • Collaborate with the Creative Director to execute marketing campaigns. 
  • Oversee the production of print and digital materials across various media, including maintaining the company website, flyers, brochures, ads, email blasts, and signage. 
  • Possess knowledge of print marketing and implementation (e.g., EDD). 
  • Communicate effectively with clients and present campaigns. 
  • Demonstrate general writing skills and the ability to edit and write copy for marketing pieces. 

Listing Management Responsibilities: 

  • Create and review listing documentation with sellers. 
  • Provide direct communication to sellers, keeping them informed during every stage of their listing. 
  • Convey market data. 
  • Manage ongoing communication with sellers and re-direct listing plans as needed to ensure competitiveness in the market. 
  • Work as part of a team to successfully list and market properties while being responsible for individual duties. 

Required Qualifications: 

  • Bachelor’s degree or equivalent work experience in communications, advertising, public relations, journalism, or marketing is preferred. 
  • Proficiency in IT applications (Excel, PowerPoint, email systems) and a basic understanding of HTML (web updates, email creation). Basic knowledge of InDesign and Adobe Suite is a plus. Knowledge of Apple/MacOS products preferred.  
  • A self-starter with the ability to work on multiple projects simultaneously and independently. Experience in project management is a plus. 
  • Must maintain the highest level of organization, creativity, and professionalism in a fast-paced, rapidly changing environment. 
  • Exceptional written and oral communication skills are required.
